This Privacy Policy explains how Buildfast LLC ("Buildfast," "we," "us," or "our") collects, uses, shares, and protects your personal information when you visit buildfast.com, use the Buildfast mobile or web application, or otherwise use our services (together, the "Services"). Buildfast operates a marketplace that connects companies and clients with crew, contractors, and freelancers for job offers, project requests, proposals, video interviews, payments, and project management.
By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.
1. Who we are and the scope of this Policy
Buildfast LLC is the controller responsible for your personal information. This Policy applies to all of our Services — the marketing website, the Buildfast web and mobile apps, and the backend systems that power them. It does not apply to third-party websites, products, or services that we do not control, even where we link to them.
2. Information we collect
2.1 Information you provide to us
- Account and registration information: your name, email address, password, and (depending on your role) phone number and address. If you sign up with Google or Apple, we receive your name, email address, and basic profile details from that provider instead of a password.
- Profile and professional information: your role (for example, company, crew, or client), profile and cover photos, work categories, experience level, hourly rate, availability, biography, and signature. For organizations, this also includes business name, address, website, logo, "about" details, and promotional videos.
- Marketplace content: job offers, project requests, proposals, estimates, tasks, messages, and any files you upload (such as plans, documents, photos, and videos).
- Compliance and verification documents: documents you submit to verify your business, licenses, or eligibility.
- Payment information: when you pay or get paid through the Services, our payment processor (Stripe) collects your card or bank details directly. We do not store full card numbers; we retain limited payment metadata such as the card brand, the last four digits, expiry, amounts, and transaction references.
- Communications: the contents of messages, support requests, and contact-form submissions (for example, your name, company, phone number, email, and message).
2.2 Information we collect automatically
- Device and usage data: information about how you interact with the Services, including pages or proposals viewed and time spent on them, platform (web or mobile), and an anonymous tracking identifier we generate for first-party analytics.
- Local and session storage: we store authentication tokens and the anonymous analytics identifier in your browser's local storage or your device's storage to keep you signed in and to operate the Services.
- Location data: with your permission, we collect approximate or precise location (latitude and longitude) to match jobs, crews, and projects geographically. You can control location access through your device or browser settings.
- Diagnostic and error data: we use Sentry to capture crash and error reports so we can keep the Services working. This may include a limited, sampled session replay of activity around an error. Sentry is configured not to send personal identifiers by default.
- IP address: we and our payment processor may collect your IP address, including for fraud prevention during payment.
- Push notification tokens: if you enable push notifications, we collect a device token so we can deliver them.
2.3 Information we receive from third parties
- Sign-in providers: when you sign in with Google or Apple, we receive your name, email address, and profile information from them.
- Calendar (optional): if you connect Google Calendar, we receive calendar access to schedule and sync meetings and availability.
- Payment processor: Stripe shares transaction status and payment-method metadata with us.
3. How we use your information
- To create and manage your account and provide the Services.
- To match companies, clients, crews, and freelancers, including by location.
- To process payments, deposits, and payouts through our payment processor.
- To host video interviews and meetings, and to create recordings and transcripts of them.
- To send transactional and service communications by email, SMS, voice, and push notification.
- To power AI-assisted features (such as AI video generation and text automation).
- To protect the Services, prevent fraud and abuse, and verify users (for example, via reCAPTCHA).
- To analyze and improve the Services using first-party analytics and error reporting.
- To comply with legal obligations and enforce our terms.
4. Legal bases for processing (EEA / UK)
If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases:
- Performance of a contract — to provide the Services you request and operate your account.
- Legitimate interests — to secure, maintain, and improve the Services, prevent fraud, and communicate with you, balanced against your rights.
- Consent — for optional features such as location access and push notifications; you may withdraw consent at any time.
- Legal obligation — to meet tax, accounting, and other legal requirements.
5. Cookies and similar technologies
We use local storage, session storage, and similar technologies to keep you signed in, to remember your preferences, and to run first-party analytics with an anonymous identifier. We do not use advertising cookies or third-party ad-tracking pixels. Some third-party features we rely on (for example, Google reCAPTCHA and embedded video conferencing) may set their own cookies. You can manage storage and cookies through your browser or device settings, though some features may not work without them.
6. How we share your information
We do not sell your personal information. We share it only as described below.
6.1 Other users
Buildfast is a marketplace. Information such as your profile, organization details, proposals, offers, and messages is shared with the other users you interact with (for example, the counterparty to a job or proposal).
6.2 Service providers and sub-processors
We share information with vendors that process data on our behalf to operate the Services:
- Stripe — payment processing.
- Amazon Web Services (AWS) — cloud hosting and database (RDS), file and media storage (S3), media processing (MediaConvert), and email delivery (SES).
- Google — sign-in (OAuth), Maps and Places (geocoding), reCAPTCHA (anti-bot), and Calendar (optional connection).
- Apple — Sign in with Apple.
- Twilio — SMS and voice messaging.
- Jitsi and Daily.co — video conferencing.
- Tavus — AI video generation.
- OpenAI — AI text processing and automation.
- Expo — mobile push notification delivery.
- Sentry — error and crash reporting.
6.3 Legal, safety, and business transfers
We may disclose information to comply with the law, respond to lawful requests, protect the rights, safety, and property of Buildfast and others, and in connection with a merger, acquisition, financing, or sale of assets, in which case we will require the recipient to honor this Policy.
7. Video meetings, recordings, and transcripts
The Services include video interviews and meetings. Where a meeting is recorded or transcribed, we store the recording and transcript and make them available to authorized participants and to Buildfast for providing and improving the Services. Please make sure you have any consent required in your jurisdiction before recording, and do not record or share content you are not permitted to.
8. International data transfers
We are based in the United States and primarily process data in AWS regions in the United States, with some processing in the European Union. When we transfer personal information across borders, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or other lawful transfer mechanisms.
9. Data retention
We keep your personal information for as long as your account is active and as needed to provide the Services. When you delete your account, we delete or de-identify your associated records, except where we must retain certain information to comply with legal, tax, accounting, fraud-prevention, or dispute-resolution obligations. Backups and certain logs may persist for a limited period before being overwritten.
10. How we protect your information
We use reasonable technical and organizational measures designed to protect personal information, including encryption of data in transit, hashed passwords, token-based authentication, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Your privacy rights
11.1 EEA / UK (GDPR)
If you are in the EEA or UK, you have the right to:
- access the personal information we hold about you;
- request correction of inaccurate information;
- request erasure of your information;
- restrict or object to certain processing;
- request portability of information you provided to us;
- withdraw consent where processing is based on consent; and
- lodge a complaint with your local data protection supervisory authority.
11.2 California (CCPA / CPRA)
If you are a California resident, you have the right to:
- know what personal information we collect, use, and disclose;
- request deletion of your personal information;
- request correction of inaccurate personal information;
- opt out of the "sale" or "sharing" of personal information — note that we do not sell or share your personal information for cross-context behavioral advertising;
- limit the use of sensitive personal information; and
- not be discriminated against for exercising your rights.

12. Children's privacy
The Services are intended for businesses and professionals and are not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will delete it.
13. Third-party links
The Services may contain links to third-party websites and services. We are not responsible for their privacy practices, and we encourage you to review their privacy policies.
14. Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised Policy.
